Job Title: AP/ AR Coordinator

Overall Responsibility:

The Accounts Payable/Accounts Receivable Coordinator will handle the general operations of the AP and AR functions and assist with payable and receivable transactions. The Accounts Payable/Accounts Receivable Coordinator will report directly to the Accounts Payable Manager and work out of the New York office.

Key Areas of Responsibility:

Accounts Payable

  • Manage multiple-entity Accounts Payable inboxes
  • Receive and prepare invoices to be processed by gathering and sorting documents and related information
  • Reconcile and maintain vendor accounts
  • Obtains and validates W9 and W8BEN forms
  • Communicate with vendors regarding any issues or inquires
  • Maintain vendor files; soft and hard copies
  • Communicate payment details on a weekly basis (internal and externally)
  • Assist with implementation of new accounting system (Oracle) by testing OCR function
  • Responsible for quality check of OCR entries
  • Assist with the 3-way match process by identifying any discrepancies and recording accounting treatment for review
  • Manage filing system
  • Assist with Client reconciliation
  • Assist with EOY 1099 process
  • Assist with requests from fellow members of the accounting team as needed
Accounts Receivable
  • Prepare and manage daily and weekly deposits
  • Post customer payments
  • Make collection/follow-up calls on delinquent accounts
  • Maintain weekly aged receivable reports
  • Research and resolve payment discrepancies

Qualifications and Experience:
  • Detail oriented and able to complete processing data accurately
  • Strong time management skills
  • Strong computer skills with proficiency in Microsoft Office programs and knowledge of accounting software
  • Intermediate Excel skills required
  • Quickbooks and Oracle Cloud experience is a plus but not required
  • Ability to follow detailed instructions, work under pressure of deadlines and communicate in a professional manner
  • Self-starter with the ability to prioritize and multi task in a fast-paced office
Working Arrangements
This is an office based position. The employee must be flexible to work outside normal business hours.
